1. Information We Collect
When you request a PlaneReports report, sign up for an account, or use the platform, we collect:
- Your name — so we can address you in confirmation emails and follow-ups
- Your email address — to send your report link and occasional product updates
- Your role (Buyer, Owner, Broker/Dealer, A&P Mechanic, etc.) — to help us understand who's using PlaneReports and improve the product for different users
- The tail number you're searching — to deliver the right report
- Your phone number — only if you choose to switch on SMS alerts
- Records you upload — logbook pages, receipts, Form 337s, invoices, inspection and analysis reports, and the images or PDFs containing them. These frequently contain the names of owners and mechanics, mechanic certificate numbers, shop names, addresses, and dollar amounts.
- Acknowledgments and consents — when you accept an acknowledgment or turn on sharing, we store the version, the timestamp, and the literal text you were shown
- Technical metadata — your IP address, browser type, referring URL, and timestamp, automatically captured by your browser when you visit the site
Payment information. We do not collect or store your full credit card number. Payments are processed by Stripe, Inc. When you check out, you are redirected to Stripe's hosted checkout page and enter your card details directly with Stripe, under Stripe's own privacy policy. Stripe returns to us a record of the transaction — amount, product, status, your email address, and limited card details such as the brand and last four digits — which we store as your order history. We never see the full card number, and we cannot charge a card outside of Stripe.
We do not ask for or store social security numbers, government IDs, or other sensitive personal identifiers.
2. How We Use Your Information
We use the information you provide to:
- Deliver the aircraft report you requested
- Build and maintain the record for aircraft in your account, including extracting data from records you upload
- Process payments and keep a record of your orders
- Send occasional product updates (new data sources unlocked, major features launched) — never daily spam
- Send the alerts you have asked for, by email or SMS
- Respond to questions or support requests you send us
- Understand usage patterns so we can improve the product
- Protect PlaneReports and our users from fraud and abuse, and comply with law
3. What We DON'T Do
We will never:
- Sell your personal information. Not to advertisers, not to data brokers, not to anyone. We also do not share it for cross-context behavioral advertising. This is non-negotiable.
- Share your personal information with marketing partners or unrelated companies
- Send spam. Our emails are transactional (report links, account updates) or product news from us directly. Every promotional email includes an unsubscribe link.
- Give your records to a general-purpose AI model for training. See section 4, which describes exactly how AI is and is not used.
4. AI and Automated Processing
PlaneReports uses AI to read the records you upload. When you submit a logbook page or a receipt, the image or PDF is sent to Anthropic's API, which returns structured text — dates, hours, part numbers, work performed, amounts — that we file into your aircraft's record and use to compute scores. This is how the product works; without it, uploaded records would be unreadable images.
What this means concretely:
- Your records are processed by a third-party AI provider under a commercial agreement, on a no-training basis. They are not used to train that provider's general-purpose models.
- We do not use your records or personal information to train AI models of our own, and we do not license your records to anyone else for training.
- We do use aggregated, de-identified statistics derived from records (for example, typical overhaul intervals across a model type) to build reference data and improve scoring. This reference data does not identify you, your aircraft, or any individual.
- Automated extraction makes mistakes. A confidence figure shown next to extracted data describes how confident the extraction was about reading the document — not how confident anyone is about the aircraft. Extracted data is a convenience; the original document governs.
- No PlaneReports score, band, or automated output is used to make a legal or similarly significant decision about you.
If you would prefer your records not be processed this way, do not upload them — PlaneReports will still show you the public-record data for your aircraft. If you have already uploaded records and want them removed, email us and we will delete them.
5. Aircraft Data Sources
The aircraft information shown in PlaneReports reports is sourced from public records and from records submitted through the platform, including:
- FAA Aircraft Registry (publicly available registration data)
- NTSB Aviation Accident Database (public accident and incident records)
- FAA airworthiness records (Form 337 major repair and alteration filings)
- FAA Airworthiness Directives and manufacturer service publications
- Maintenance records uploaded to a PlaneReports account by the aircraft's owner, or by a mechanic or shop with the owner's permission
Registrant names and addresses. The registered owner's name and address shown in a report come from the FAA's public registry file, which we refresh on a schedule. Federal law (49 U.S.C. § 44114(b)) lets an owner ask the FAA to withhold that information from public release. When the FAA stops publishing it, we stop showing it at the next refresh — and any owner can ask us to suppress it sooner by emailing hounddogaviation@gmail.com with the tail number. We do not keep publishing a name the FAA has withdrawn.
Much aircraft history is public record. If you're an owner and you'd like to dispute or correct information in a report, contact us — we'll work with you to verify and resolve it, and we will act promptly on records you tell us were submitted without your authorization.
6. Records You Upload — Who Owns Them
You keep ownership of the records you upload. We take a licence to store, process, display, and derive data from them so we can operate the service, as described in section 9 of our Terms of Service. We do not claim ownership of your logbooks, receipts, or any other document you submit, and non-payment does not transfer them to us.
7. Service Providers
We use a small number of third-party providers to run PlaneReports. Each processes data only to provide its service to us:
- Google (Firebase / Google Cloud) — authentication, database (Firestore), file storage, and the server functions that run the platform. This is where your account and your uploaded records are stored.
- Netlify — hosting and delivery of the PlaneReports website.
- Stripe, Inc. — payment processing and card data. See section 1.
- Anthropic — AI processing of uploaded records. See section 4.
- Google (Gmail) — outbound transactional and notification email.
- Twilio — SMS alerts, only if you enable them.
We may also disclose information where we are legally required to, to comply with a valid legal process, or to protect the rights, property, or safety of PlaneReports, our users, or the public. If Hound Dog Aviation LLC is involved in a merger, acquisition, or sale of assets, your information may transfer as part of that transaction; we will notify account holders before it becomes subject to a different privacy policy.
8. Cookies and Local Storage
PlaneReports uses your browser's local storage to remember that you've previously requested a report, so you don't have to fill out the lead form on every visit, and to keep you signed in. This is a small text identifier stored only on your device — we can't read it remotely, and you can clear it at any time through your browser's privacy settings.
We do not use third-party tracking cookies, advertising pixels, or cross-site behavioral tracking.
9. Data Retention and Deletion
We retain your account information, uploaded records, and report history for as long as your account is active, and afterwards only as long as we need them for the purposes described in this policy or as the law requires.
To delete your data, email hounddogaviation@gmail.com from the address on your account, or write to us at the address below. We will acknowledge your request within 10 days and remove your personal information and uploaded records from our active systems within 30 days, and from routine backups within a further 60 days as those backups age out. We will tell you when it is done.
Some things survive deletion, and you should know which:
- Transaction and tax records we are required to keep, retained for as long as the law requires
- Reports already delivered to a third party — we cannot recall a report someone else has already received
- Public-record data about an aircraft, which comes from the FAA and NTSB and is not ours to delete
- Aggregate, de-identified statistics that no longer identify you or your aircraft
10. Your Rights
You have the right to:
- Access the personal information we have about you
- Correct any inaccurate information
- Delete your data from our systems (subject to the limited exceptions in section 9)
- Export your data in a machine-readable format
- Unsubscribe from product emails at any time
To exercise any of these rights, email us at hounddogaviation@gmail.com with your request. We respond to all data requests within 30 days. We will not discriminate against you — in price, service, or quality — for exercising any of them.
11. Requests From Anyone, Anywhere
We honor access, correction, deletion, and export requests from anyone, wherever you live, on the terms described in sections 9 and 10. We do not claim to be covered by any particular state's consumer-privacy statute — PlaneReports is a small service well below the thresholds at which those laws apply — and nothing in this policy is a representation that we are. If a law that applies to us gives you additional rights, you have them.
Do Not Sell or Share My Personal Information. We do not sell personal information, and we do not share it for cross-context behavioral advertising. There is nothing to opt out of, but if you want that confirmed in writing, email us and we will confirm it.
For the record: we collect the categories of information listed in section 1, for the purposes in section 2, from the sources in sections 1 and 5, and disclose them only to the service providers in section 7. We have not sold or shared personal information.
You may use an authorized agent to make a request. We may need to verify your identity, which usually means confirming control of the email address on the account. If we deny a request, you may appeal by replying to our response with the word "appeal"; we will answer an appeal within 45 days.
12. International Users
PlaneReports is operated from the United States and is intended for users in the United States. Our servers and our service providers are located in the United States, so if you access PlaneReports from outside the country, your information is transferred to and processed in the United States, where privacy laws may differ from those of your own country. By using PlaneReports you understand that this transfer occurs.
We do not currently offer PlaneReports to individuals in the European Economic Area or the United Kingdom, and we do not target our services there. If you are located in one of those regions and believe we hold personal information about you, email us and we will delete it.
13. Security
We use industry-standard security practices to protect your data, including encrypted database storage (Google Cloud Firestore), encrypted credentials (Google Secret Manager), HTTPS for all web traffic, and access controls limiting who within Hound Dog Aviation can view customer information. No system is perfectly secure, but we treat your data as if it were our own.
14. If There Is a Breach
If we discover a security incident that has compromised your personal information, we will investigate promptly and notify you and any regulator that the law requires us to notify, without unreasonable delay and within the deadline your state's law sets. Our notice will describe, as best we know it at the time: what happened, what information was involved, what we have done in response, and what you can do to protect yourself. We will not delay a notice to you for reputational reasons.
15. Children's Privacy
PlaneReports is not directed at children, and accounts require you to be at least 18. We do not knowingly collect information from children under 13. If you believe a child has provided us with information, please contact us and we'll remove it.
16. Changes to This Policy
We may update this Privacy Policy occasionally to reflect changes in our practices or for legal/regulatory reasons. When we do, we'll update the "Last updated" date at the top of this page and, for significant changes, notify you by email if you've signed up for an account.
